Minimising disruption while transitioning 180 employees

Programmed Training Services supplies apprentices and trainees to our transport infrastructure customer throughout Queensland, a relationship that spans over 12 years.

Programmed was engaged by our customer at very short notice to transition 180 employees over to us from an agency experiencing financial difficulties.

Our customer was in the midst of delivering a major expansion project for a global mining company so they were particularly keen to ensure minimal disruption to both the employees concerned and the broader project as they were at a critical phase in its delivery.

Our team contacted each employee to let them know what was happening and talk them through the change. We also developed a question and answer document that answered the most common questions that employees in this situation ask. We also scheduled face-to-face meetings with those employees who had further queries or concerns.

We then prepared welcome packs for each of the 180 employees. The welcome pack included the employee’s new contract, a personal details form, tax declaration (where applicable), induction handbook, a “who’s who at Programmed” and a copy of our latest newsletter. These packs were personally delivered or mailed out to site-based employees. New employee and payroll records were established in our systems as soon as the forms were returned.

Our customer was thrilled with our performance, as we successfully transitioned all 180 employees in one week, with each employee paid correctly and on time.
